What is OpenText Core?
OpenText Core is an information management and collaboration application that gives you the ease of use and experience that you want, coupled with the control and flexibility you need. Simply put, it's cloud-based, built with a mobile-first approach, and provides a simple, fast and familiar way for you store and share files and work with others to get things done.
How do I sign up for OpenText Core?
You can get your OpenText Core account by visiting core.opentext.com. You'll be storing, sharing and collaborating on your files in no time.
Can I sign up for multiple accounts?
Yes, but only one account per email address. If you want multiple OpenText Core accounts (for example, one for your work files and another for personal files), you will need to provide a unique email address for each account.
What web browsers can I use?
OpenText Core supports modern browsers on both Mac and Windows (Chrome, Internet Explorer, Safari, etc.).
Do I have to download any software?
Users are not required to download software to use OpenText Core except:
Web Edit Client: To edit files on your Mac or Windows system you will need to download the OpenText Core "web edit client." You'll be prompted the first time you go to edit a file and be given the option to download and install either the Mac Desktop client or Windows Desktop client to edit files in the application that created them.
Mobile Apps: If you want to share and work with files on your iOS or Android smartphone or tablet, you'll need to download the OpenText Core app for each device. Apps for OpenText Core are available (free to download) on the App Store and Google Play.
How much does OpenText Core cost?
OpenText Core is free for personal use. If you need more space or want to use OpenText Core for your team or business, subscription plans with increased storage, advanced administration features, user management, and security control are available. Visit here to explore plan options and sign up.
How much space do I get?
Personal user accounts for OpenText Core offer 2GB of storage and a maximum file size of 250MB with one version per file. Team and Business plans offer more user accounts, increased storage, and can handle larger file sizes with more versions per file.
What if I run out of space?
No problem. If you find that you need more space for your files you can subscribe to a Team or Business plan to increase the amount of storage. Visit core.opentext.com for plan options and to sign up.
How do I add folders and files?
You can create folders to organize your files by simply clicking the New Folder button from the Files screen. Adding your files to OpenText Core couldn't be easier – just drag and drop your files to the folder you want to store them or click the Upload button.
What types of files can I store?
Any type of file that you store locally on your device can be uploaded to OpenText Core. Anyone you share files with can view them, but in order for them to edit files, they will need the native application.
Can I easily add pictures and videos from my phone or tablet?
Yes, uploading and sharing pics and videos from your phone or tablet is easy. OpenText Core lets you access the Camera Roll or Gallery on your iOS or Android device and makes uploading pics and videos a snap.
Does OpenText Core integrate with Office 365 or Google Docs?
No, OpenText Core does not integrate with third-party cloud-based editing and authoring applications.
To offer a compelling integration with these editors would require documents from OpenText Core to be shared and stored in other cloud services, thereby compromising the control and governance (and potentially security) of that content.
How do I delete files?
If you're sure you don't need a file and want to free up space, simply click the Actions button next to a file (or entire folder) and select Delete. Don't worry, you'll be asked to confirm that you want to proceed before OpenText Core gets rid of the file.
My files are missing, how do I get them back?
For Personal accounts, please check your File Activity (available from the Files screen) to see if anyone you've shared a file(s) with has mistakenly moved or deleted the file(s). The File Activity history will give you a snapshot view of exactly what has been done with your files (and who did it).
Deleted files can be restored by clicking the Restore button next to the associated entry in the File Activity (available from the Files screen) for your account.
If you have a Team, Business or Enterprise plan, contact your OpenText Core Administrator for assistance.
Are there limitations on file size or the number of files I can store?
There are a couple of limits depending on the OpenText Core plan you select. The Personal plan gives you 2GB storage with a maximum file size of 200MB and a single version of the file. Team, Business and Enterprise plans provide additional users for the account, increased storage and file size allowance, and support for multiple versions per file.
Please check out core.opentext.com to select a plan that works best for you.

Working with Files
How do I share my files?
Sharing a Folder: To share an entire folder, simply click on the Share icon next to the folder. The Share pop-up lets you enter email addresses or user names (Note: user names may only be used if you've shared with the user in the past or if you are using OpenText Core for Team, Business, or Enterprise and have assigned users) and assign permissions for all files in the folder (Viewer, Collaborator, or Manager).
Once you add people to share the folder with, they will receive an email letting them know and giving them a link to accept your invitation. If they already have their OpenText Core account, they're all set; otherwise they will need to sign up for their own account first.
Note: People you share folders with have the same access permissions for all files currently in the folder and any files that you add in the future.
Sharing a File: To share a file, just click the Share icon next to the file. The Share pop-up lets you enter email addresses or user names (Note: user names are available if you've shared with the user in the past or if you are using OpenText Core for Team, Business, or Enterprise and have assigned users) and assign permissions for the file (Viewer, Collaborator, Manager).
Once you add users to share the file with, they will receive an email letting them know and giving them a link to accept your invitation. If they already have their OpenText Core account, they're all set; otherwise they will need to sign up for their account before they can access the file.
Can I share with people outside of my team or business?
Yes, you can invite collaborators from outside of your team or business so long as the administrator of your OpenText Core account has allowed it. All you will need to do is add the email address on the Share page and assign permissions (view, collaborate, or manage files) the same way you would when sharing with your team or colleagues.
If the user does not already have an OpenText Core account they will be sent an email inviting them to create an account. They will complete a short sign up form to get their OpenText Core account and be sharing with you in no time.
Can I just send someone a link to my files in OpenText Core instead of inviting them to share?
Yes, you can share a link for someone to download or view the file without inviting them to share the file. This avoids that person from having to sign up for their own OpenText Core account and accept the invitation to share the file with you – they will have instant access to view and download the file but no ability to actually work with the file in OpenText Core. Files downloaded via a link create a new, local copy of that file.
We suggest that sending links be done only with trusted parties and sparingly - actually sharing files from within OpenText Core is a much safer method and provides a full audit trail of file activity.
What is the "Actions" button?
Clicking the Actions button next to a file or a folder gives you a variety of options:
Actions for a Folder > Clicking Actions for a folder gives you the option to move or copy the folder to another location in OpenText Core or to delete the folder (and all contents).
Actions for a File > Clicking Actions for a file lets you choose to download a copy to your device, move or copy the file to another location in OpenText Core, edit the file (opens the native application like Word, or PowerPoint), Delete (if permitted to do so), Lock to prevent others from editing or using the file.
How do I edit files?
To edit a file on your Mac or Windows system, simply click on the Actions button next to the file in the Files page then choose Edit from the top menu or click the file to open it in the viewer, then click the More button ("ooo") and select Edit. The file will open in the application associated with the file format (for example, Microsoft Word for a .docx file type). Any changes you make to a file will be instantly saved to OpenText Core when you save the file or close the application you are using to edit the file.
Note: The first time you edit a file, you will be prompted to download the OpenText Core desktop application. Simply select either the Mac or Windows version and follow the prompts. If there are updates to the desktop application, you will receive a notification letting you know it's ready to download.
What is the "Web Edit Client" and how do I get it?
The first time you edit a file on your desktop a file from OpenText Core, you'll need to install the desktop application – also known as the Web Edit Client. There are versions for both Mac and Windows desktops. The desktop app detects the native applications on your system so you can open files for editing and then instantly save modifications back to OpenText Core as a new version. The desktop app also provides you with notifications about your file activity and alerts for when others invite you to share their files and folders.
What else can I do with files?
Aside from sharing, editing, and storing your files in the OpenText Cloud you can also comment, like files, control access to files, track file activity, and more. If you click the More button (“ooo”) while using the OpenText Core file viewer you'll see a range of options for that file. You can also check out the Dashboard for a quick view of file usage and other activity.
Can I access OpenText Core from my mobile device?
Yes. There are apps for iOS (iPhone and iPad) and Android devices available on the App Store and Google Play. For iOS phones and tablets, visit the App Store and for Android devices, visit Google Play.
Do I have to sync my files from a folder on my desktop or something like that?
No, OpenText Core features unique file editing capabilities where you can open files, make changes or annotations and have them immediately saved back to the cloud. This avoids having to download a copy of the file, open and edit it, then wait for file synchronization to occur between your desktop or device and the system. It also makes sure that everyone is working on the right version (no more confusion over which file includes the most up-to-date edits) so synchronization errors will be a thing of the past.
How do I sync files between my devices/computers?
Good news; you don't have to because OpenText Core instantly saves any changes and file versions as edits are made, you will have access to the most up-to-date file from any device -- no synchronization required!
Can I sign up for an OpenText Core account using my phone or tablet?
Yes, you can sign up for an account from your iOS or Android device so long as you download the OpenText Core app first. Once you've downloaded the app all you need to do is click "Create Account" from the log in screen. To download the OpenText Core app for your iOS smartphone or tablet, visit the App Store and for Android devices, visit Google Play.
How do I upload my files on my phone or tablet?
OpenText Core lets you upload picture and video files directly from your iOS or Android device (the OpenText Core app for the device needs to be downloaded and you must be logged in on the app). From the Files page, press the "ooo" (More) button and then Add Files. You will be given the option to upload files from your Camera Roll/Gallery or directly from your device's camera. Selecting the Camera option will launch your device's camera and once you've snapped your pic you can select Use Image to upload it directly to OpenText Core.
To upload a file other than a pic or video (document, presentation, spreadsheet, etc.) from your iOS or Android device, access the file in a mobile app for the file type (such as Pages, DocsToGo or Quickoffice for a Word or PowerPoint file) and select the Open In option. In the icon list of apps that will open the file type, select OpenText Core and, click Import to select a folder to upload the file.
Note: you must be logged in to OpenText Core before uploading files from third-party productivity apps on your device.
How do I share files and folders on my smartphone or tablet?
There are two ways to share files from your device: a) swipe from left to right across the file in the Files page and tap the Share icon, or b) tap the file to open it in the viewer and then tap the Share icon. You can either click Get Link to send direct links to view and download the file or invite people to share and collaborate on the file in OpenText Core. In both cases you can enter email addresses or user names (if you have assigned OpenText Core user names for your Team, Business or Enterprise plan or if you have shared with those people in the past using your Personal account)..
Can I log in to a different OpenText Core account on my devices?
Yes. For example, if you need to log in to your personal OpenText Core account at the same time as your business account, you can log in to one account on your tablet and another on your phone.
Is there a community or forum for OpenText Core?
Yes there is; you can explore the forum and join the OpenText Core community by visiting core.opentext.com/support, or by clicking on your profile (the icon in the upper left corner of the Files List page with your name next to it) and select Help.
